How to Use This Calculator
Tab “Total Budget”
Select your destination tier (Budget, Mid-range, or Luxury), enter the trip length in days, number of travelers, and round-trip flight cost per person. The calculator uses tier-based daily cost averages to estimate your total vacation cost including flights.
Tab “Daily Breakdown”
Enter your own per-person daily costs for accommodation, food, activities, and local transport. Set the number of travelers and trip length. The calculator shows a detailed cost breakdown by category with per-person and trip totals.
Tab “Savings Plan”
Enter your total trip budget, how many months until your trip, and how much you have already saved. The calculator tells you exactly how much to save per month and per week to reach your goal in time.
Formulas Used
Daily Cost per Person = Accommodation + Food + Activities + Local Transport
Total Trip Cost = (Daily Cost per Person × Travelers × Days) + (Flight Cost × Travelers)
Daily Breakdown (custom):
Daily Total = (Accommodation + Food + Activities + Transport) × Travelers
Trip Total = Daily Total × Days
Savings Plan:
Remaining = Total Budget − Current Savings
Monthly Savings = Remaining ÷ Months Until Trip
Weekly Savings = Remaining ÷ (Months × 4.33)
Tier-based daily costs per person: Budget $82/day (hostel, street food, free activities, public transit), Mid-range $247/day (hotel, restaurants, paid tours, mixed transit), Luxury $735/day (5-star, fine dining, private tours, private transfers).
Worked Examples
Example 1 — 7-day mid-range trip for 2
A couple plans a week-long mid-range vacation with $600 flights each.
At $4,658 total, that is roughly $665 per person per day including flights, or $333 per person per day for ground costs alone.
Example 2 — Budget backpacking 14 days solo
A solo traveler plans a 2-week budget backpacking trip with $350 flights.
Under $1,500 for a 2-week trip. Budget travel is achievable in Southeast Asia, Eastern Europe, and Central America at these daily rates.
Example 3 — Savings plan: $4,658 trip in 8 months
The couple from Example 1 has $1,200 saved and their trip is 8 months away.
Saving $432/month or $100/week for 8 months fully funds their trip. Setting up an automatic transfer makes it easier to stay on track.
Travel Budget Tips
How to Reduce Accommodation Costs
Book early for the best rates, especially during peak season. Consider apartments or vacation rentals for trips longer than 4 nights — they often cost less than hotels and include kitchens that reduce food spending. Hostels, house-sitting, and home exchanges can cut accommodation costs by 50-80%.
How to Save on Food While Traveling
Eat where locals eat, not in tourist zones. Markets and street food offer authentic meals at a fraction of restaurant prices. If your accommodation has a kitchen, cook breakfast and pack lunches. Allocate your food budget unevenly: splurge on one memorable dinner and keep other meals simple.
The 10% Buffer Rule
Add 10-15% to your calculated budget for unexpected expenses: a missed connection, a spontaneous day trip, or higher-than-expected prices. On a $4,000 trip, that means budgeting $4,400-$4,600 total. It is much better to come home with money left over than to run out on day 5.
When to Book for Best Prices
Book flights 2-3 months in advance for domestic trips and 3-5 months for international. Tuesday and Wednesday departures are typically cheapest. For accommodation, booking 1-2 months ahead offers the best selection at competitive prices. Last-minute deals exist but are unreliable for popular destinations.
Limitations of This Calculator
This calculator provides estimates based on global travel cost averages. Actual costs vary significantly by destination (Tokyo vs. Bangkok), season (peak vs. shoulder), and personal preferences. The tier-based costs are averages — use the Daily Breakdown tab for destination-specific budgeting. Travel insurance, visa fees, and shopping are not included in the base estimates.
